Search and filter any list

The search box, Filter and the ☰ at the top of every list in the admin.

Every list has the same line at the top: a search box, a Filter button, its New button if it has one, and a ☰ holding everything else - Columns, Export to Excel and what that list does of its own. What you learn on one list works on all of them.

  1. Type in the search box.

It looks in every column, as the list shows it, and every word you type has to appear somewhere in the row: "grace ga" finds Grace in Georgia. A phone number matches however it was typed - 770-555-0142, (770) 555-0142 and 7705550142 are the same number.

  2. Press Filter to add a condition on one column.

Choose the column, the condition and the value, and press Add Filter. Dates offer on, after, before, between and in the last so many days; numbers offer is, more than, less than and between; text offers contains, starts with, is and is not. Every column also offers is blank and is not blank.

  3. Read the chips under the search box.

Each filter is a chip. The × on a chip takes that one off; Clear All takes off every chip and the search together. A row has to pass all of them.

  4. Open the ☰ for everything else.

Columns shows or hides columns, Export to Excel takes away what is on screen - after your search and filters - and the rest are that list's own actions. A column with nothing in it starts hidden, marked (empty) under Columns.

Tip

A short list may have no ☰ at all - Organizations, Form Submissions and Logs have nothing to put under one. Failed Emails loads a page at a time and filters with a row of boxes under its headings instead of the search box.

Watch out

A few very long lists load a page at a time; their search box and Filter still look through every record, not only the rows on screen - Contacts by name, email or phone, Purchases by receipt, name, email or phone, and Sent Emails by any word of the subject or the email's name.
