Find an order and read it

The list of everything bought, and what one order's page tells you.

Purchases is every order the store has taken, newest first. An order cannot be made or deleted here - it is a financial record - but everything about it can be read.

The screens pictured here are an example ministry’s, so the names and figures in them are not yours. Everything they show works the same way in your own admin.

The Purchases list as it opens: status, date, which store took it, who bought, the receipt and the money, with the search box and Filter above it - and no orders taken yet.

  1. Open Back Office, then Commerce, then Purchases.

Status is the fulfillment step the order is at. Source says which of your stores took it.

  2. Type a receipt, a name, an email address or a phone number into the search box.

It searches every order the store has ever taken, not only the ones on screen, and matches from the start of a name or address: "hern" finds Hernández.

  3. Press Filter to narrow by Date or by Status.

Date takes a day, a range or "in the last … days"; Status is picked from a list. Each filter is a chip, and a chip works together with the search.

  4. Open the ☰ at the top for Columns, to show hidden ones, and Export to Excel, to take it away.

The billing address columns, Label Cost and Shipping +/- start hidden. Export carries whatever is showing.

Above the list: the search box, Filter and the ☰.
Above the list: the search box, Filter and the ☰.
  5. Double-click the order.

Its page has the contact and both addresses, the totals, the discount breakdown, the timeline of every step and who took it, and the items with the size or colour chosen.

  6. Press View Contact Record to open the person.

A wrong phone number or address is corrected on the contact, not on the order - the order keeps the address it actually shipped to.

  7. Press the truck on a row to get its shipping label.

Only on orders that were charged shipping. The first press buys the label from the carrier.

Watch out

The truck buys a real label the first time it is pressed - real postage, on your carrier account. After that it downloads the one already bought.

Tip

Every order has a receipt: a PayPal id, or the coupon code that covered it, or FREE ONLY. That is what the refund button reads to know what it can do.
