Send somebody their data, or erase them

For when a person asks what you hold about them, or asks you to delete it. Administrators only.

People may ask to see everything you hold about them, or to be forgotten. Both are one press from their contact, and both reach everything - orders, registrations, forms, emails, their Reader account and what they wrote in groups - not just the contact record.

  1. Open Back Office, then People, then Contacts, and double-click the person.

If they have two records, merge them first: the kept record carries both addresses, and everything below covers both.

  2. To send them their data, open the ☰ at the top and choose Export This Person's Data.

A file is saved to your computer with everything held about them. Read it, then send it to them. Nothing is changed.

  3. To erase them, open the ☰ and choose Erase This Person.

The pop-up lists what will be deleted, what is kept with them taken out, and what is not changed, with how many of each.

  4. Type their email address in the box and press Erase This Person.

This cannot be undone. Their contact goes back to the list without them.

Watch out

Orders are kept for your tax records, with their name, email, phone and street address taken out; the amounts, items, date and city, state and ZIP stay. Event registrations stay so your numbers add up, without their name or answers.

Tip

Once erased, a spreadsheet import leaves them out and a sign-up form asks them to confirm by email - they can only come back by choosing to. Their address is remembered as a scrambled code, not the address itself.

Watch out

A staff member cannot be erased while they still have a staff account. Remove their access first.
