The monthly invoice

Where each figure comes from, when one is raised, and why a past month never changes.

A month is frozen once it is invoiced. The printable invoice is drawn from that frozen record and nothing else, so re-opening a past invoice shows what was actually billed rather than what today’s numbers would make of it.

  1. Wait for the 3rd, or look at a month that has already closed.

A month closes on the 3rd of the next one, because the Google billing export lags up to two days. Invoices raise themselves each morning after that.

  2. Open Invoicing, or Invoices on a tenant’s own screen.

Invoicing lists every month the console holds for every tenant, newest first, and adds up what has been charged and what has been given. A tenant’s own Invoices button shows that ministry’s months and its invoice history.

  3. Read the lines.

The plan fee, Google Cloud, AI features — the month’s usage at what Anthropic charged, with no markup on it — and the four that are not metered per ministry yet and read nothing: the Bible API, shipping labels, email delivery and card processing. Then the margin, taken on the costs that are charged, never on AI.

  4. Read the three totals.

At list is what the month would have cost; Waived is what was given; Total due is what to collect. A wholly waived month reads $0.00 due with every line still on it.

  5. Open the printable invoice and use the browser’s Print to make a PDF.

It is a page of its own, laid out for paper; the buttons hide themselves in print.

  6. Press AI breakdown on the invoice to show what the AI line is made of.

Every request that month, one row each, with who made it, what it was for and what it cost. It appears only on an invoice that has an AI figure. It reads the AI log live, so a month still open can move; the invoice’s own figure is frozen.

Watch out

An open month moves as costs come in. An invoiced month does not, and never will — that is the point of freezing it, and why the run never touches one twice.

Watch out

A month the nightly rollup never wrote is NOT invoiced, deliberately: its Google cost would read as zero when the truth is that nobody has read it yet, and a made-up figure would be frozen onto a real invoice. The exception is a second-tier customer, whose zero is a fact — its costs belong to its parent’s project.

Tip

Months that closed before a ministry had terms are never raised by the run. scripts/backfill-invoices.js raises them by name, dry run first.
